NCI seeks an experienced professional to support the organization’s program’s team, assisting on projects and programs as needed, providing day-to-day administrative and operations assistance to optimize the organization’s performance.
Job Summary:
Reporting to the Associate Director of University and Ecosystem Partnerships, the Project Coordinator shall be the primary support person to the organization’s programs team, providing day-to-day project and program management to optimize the organization’s performance. With responsibilities ranging from scheduling to active involvement in the organization’s engagement and operations, the Project Coordinator will lead or provide tactical support to a wide variety of functions. The Project Coordinator will play a critical role in overseeing the programs team’s internal communications and keeping priorities and projects on track that will ultimately lead to project and programmatic success in the short and long term.
Responsibilities:
The Project Coordinator will be responsible for the following duties and responsibilities:
- Develop and maintain the program team calendar to ensure efficient and effective use of time;
- Participate in meetings as needed; oversee meeting prep, track meeting takeaways, and ensure follow-up on action items and next steps;
- Support policy and policy development activities by remaining abreast of key issues and topics relevant to the organization’s grants and regional hubs;
- Provide project management and support on special projects as assigned;
- Support planning efforts; develop and maintain an annual calendar of major activities involving program team members;
- Serve as a liaison to the program's team, ensuring outside inquiries are appropriately routed and responded to in a timely manner;
- Provide support for planning and execution of external-facing activities of the organization including strategic and routine communications, outreach and events;
- Proactively plan for visitors, events, and other activities to ensure the logistics of the event run smoothly and that visitors have appropriate building access and contact information;
- Oversee project management tools to ensure the program’s team remains aligned in communications, action items and responsibilities;
- Assist with record keeping; including organizing and storing files appropriately and ensuring accessibility to all team members;
- Arrange travel and meeting participation, including flight, hotel, car rental and related logistical details;
- Facilitate Executive VP and Chief Innovation Officer’s expense reporting, ensuring records, receipts and documentation are accurate, thorough, and submitted in a timely fashion;
- Help solve problems, improve organizational efficiency, and address operational issues as needed.

Requires a proven ability to develop and leverage partnerships and relationships; expert written and verbal communication skills; independent decision making; exceptional time management; and proactive attention to detail.
Qualifications:
The Project Coordinator should possess the following minimum qualifications:
- Bachelors degree required, advanced degree preferred;
- Minimum of five years of relevant work experience in a professional environment, with experience in local, state, or federal government policy or legislative affairs preferred;
- Project/program management experience;
- Exceptional verbal and written communication skills; and
- Technical proficiency with Office 365, Zoom, Slack, Board Effect, and/or similar information technology platforms
